Important updates to our privacy notice.

Klarna email example with subject line “Important updates to our privacy notice.”

Why we like it

Klarna sent this privacy policy email update to inform users of upcoming changes to their privacy policy. They do a great job of clearly letting users know when the updates will take effect as well as highlighting the two key changes from the previous policy. This allows users to get a general idea of how this will impact them before reading into the entire document which is provided at the bottom of the email. While still including Klarna branding, they kept it to a minimum so that the main focus remained on the serious (non-promotional) nature of the message itself.

Airtable email example with subject line “Updates to our Terms of Service and Privacy Policy”

Why we like it

Airtable does a nice job of letting users know that this Terms of Service and Privacy Policy update is being sent to further support new features that they have recently or will soon be launching. They do a nice and clear job of recapping some of the major changes while providing further resources for users to read at their earliest convenience. Finally, Airtable does a nice job of letting users know that this was a legal notice and therefore was not required to have traditional opt-out options like their marketing and promotional emails would. They technically don't need to say this but it goes a long way when building trust with users over the long-term.

A privacy policy update email tells users what changed in your legal terms, when it takes effect, and whether they need to do anything. The examples above from Loom, Klarna, and Reddit show how to keep it clear. Below: what these emails must include, example copy, and a template.

What a privacy policy update email must include

  • What changed, summarized in plain language, not a diff of legal text

  • When the new terms take effect

  • What the user should do: usually nothing, sometimes review settings or accept

  • A link to the full policy and, ideally, to the previous version

  • Who to contact with questions

Email privacy policy example

The core paragraph most companies need looks like this:

We're updating our privacy policy, effective [date]. The changes clarify how we handle [topic, e.g. analytics data] and add details about [topic, e.g. new subprocessors]. Nothing changes about how we collect or sell data: we don't sell your data, and that stays true. You can read the full policy here [link]. No action is needed, continuing to use [Product] after [date] means the updated policy applies.

Plain summaries build trust; vague ones ("we've updated our terms") generate support tickets and suspicion. If the change is significant, say so directly.

Privacy policy update email template

1. Policy update notice

Subject: Updates to our privacy policy, effective [date]
Hi [First name], we're updating the [Product] privacy policy on [date]. What's changing: [change 1 in one sentence]. [Change 2 in one sentence]. What's not changing: [reassurance about data handling]. [CTA: Read the updated policy]. Questions? Reply to this email or contact [privacy contact].

Best practices

  • Send before the effective date, 30 days is the common standard for material changes

  • Treat it as transactional email: legally required notices go to all affected users regardless of marketing consent, and carry no promotions

  • Use a clear subject line with the effective date, this email exists to be findable later

  • Keep the design minimal, heavy branding makes legal notices look like marketing and hurts open credibility

  • Coordinate timing with in-app notices so users hear it from you once, consistently

FAQ

Do I have to send a privacy policy update email?
For material changes, regulations like GDPR and many terms of service require notifying users. For minor clarifications, an in-app notice may be enough. When in doubt, send the email.

Is a privacy policy update email transactional or marketing?
Transactional. It is a legally significant notice about the service relationship, so it goes to all users and must not include promotional content.

When should the email be sent?
Before the changes take effect, commonly 30 days for material changes. Send a same-day note only for corrections or urgent legal requirements.
